productivity when you think of you know hey are you productive uh are you guys getting done so

let's think about what productivity is technical terms right so productivity is output per unit of

input. So output per unit of input means how much output you get from each unit of input

That's pretty much it means so in your old computer guys you understand input you understand

output and there's a processing. So if I get certain things I do something I get output

That's productivity. Right now productivity is measured in terms of efficiency. Right

What's the goal of this? Goal is to increase our efficiency. And what is efficiency

Let's look at another definition here. Efficiency is the performance that uses the lowest amount of

input and gives us maximum output. Okay. Lowest amount of input, maximum output

now what does that mean that sounds great in physics terms and in science terms that sounds

good that definition sounds good what does has to do with us as people as developers software

developers as you know even non-software developers that means really in simple terms

when we do certain things right we do any task we have a time we have some resources and we need to

get something done it literally in our case in the case of people not machine in case of us

productivity is getting things done faster it's that simple means if i can do things in less time

and how much i can do more in less time in getting better at that's pretty much the productivity

I'm going to share some of my tips here. I said top 10 tips, but here's the secret

I'm not going to share top 10 tips. I'm only going to share nine tips with you

Why? Because I want one tip from you. everybody who's watching you're going to give me one tip so then i can learn from you as well so

think about what is your tip which is not here in my list uh and if you can share me at the end of

That's great. Awesome. Yeah, share your things when you start your day

What do you do? What's your productivity? You know, the people use different ways. And again, here's the thing

I'm just sharing what works for me. It doesn't matter. Same thing may work for you

So you have to try those things. So let's start with number one. So number one is prioritize your tasks

Sure, definitely you have to make a to-do list. That's very important. Now, you may say that, oh, I already know my to-do list

It's in my head. Well, that's great. But don't even think about it

You have to make your to-do list. Make sure it's written. I mean, to-do list is more important than anything else you should have

Like today, my goal is this. and don't over don't go overboard right do only be honest do only put only things there

that you can do easily okay don't overwhelm yourself it's okay if you're done early you

can get more topics in there the good thing is if you have too much in there and you don't get it

done then you are going to probably get discouraged but if you have you have smaller you have like

number less number of items in there and you get it done quickly you are now more motivated like you

will feel good that oh look wow I did my to-do list already now I'm you know if you feel like

working more then you get more things and good thing is that most of you guys if you're working

for a company on a project you already have the to-do list you're probably already using

one of the Jira or Asana or one of the task boards so good thing is you already have that

so that's from your work side you may also have some of your personal lists right personal list

means today I want to learn Azure or I want to learn you know database or I want to write an

article or I want to do something else that you can also have that separate list as well. So you

got your work list you get your personal list and personal list really depends on how much time you

have left from your work. So that's so that's one thing first start with that thing. You agree

if you agree yes please share say yes with this is agreeing or no not agreeing. You may say oh I

need a list i already know what to do. Then second most important part is prioritize that don't just

add lists you have to prioritize that if there are 10 items in my list these six are the most

important things i need to get that and priority should not be best based on fashion it should be

based on goals and you'll say what does that mean well this is very important and this i share because

first from my personal experience that most of the time we want to do things which we are

passionate about, okay? Not the things that matters to our, you know, company or productivity

and other goals, right? So we try to just jump on the things that we are passionate about, right

So that should not be the case here because your goal is really get the things done faster, right

So if you have a task, they need to be done, their goals to be achieved this week or today

That should be your highest priority, not the passion. Passion can always come later

And here's the best part. If you're passionate about something, you can do that anytime because you don't need any motivation for that

And now let me break it down from what I mean is that there is some, for my case, when I work, there's some client projects

There's some client work. There is some customers work. There's some startups work

And there's been my personal passion, like writing articles and doing research and all that

Sometimes what happens during the important time, I mean, you know, let me write articles

But that's not what I should be doing. I should be more focusing on first, you know, my client or projects

They are important because that's my goals for the days and weeks and the whole year
20:40
So that's how it should be. Does it make sense? now third thing is very important that you got to use the digital tools very important and i'm

still better sometimes you know so there's some things i always write on my you know pen and paper

that's fine but you gotta switch to the digital tools which is important there are apps there

calendars there are passwords there are so many out there uh company i know most companies already

do that but the reason you want to do that is is uh there is reminders in there and you can always

see them they're always there if you have a task in your digital tool it's always there you cannot
21:25
miss it if you use copy and paper and pen and you keep going next page next page next page

there may be a task missing on page fifth five days ago so try to and it's hard sometimes if

if you've been working on pen paper for a long time but goal is to move away from that
21:41
and make sure definitely set times and reminders what does that mean is when you have a task you
21:47
need to allocate a time to that how much time it is going to take don't just write the task
21:53
try to try to be fair that okay this is going should take me two hours this is very important

if you want to become productive the setting time on each task is very important you know i can have

a task called write an article okay I can have a task write an article but that task is hanging
22:12
around for two weeks that's bad for me so I need to set a say I'm going to take four hours in this

writing new article it has to be done today it's all I can do by the weekend so I'll put two hours

you know today two hours tomorrow that what you gonna that important for the productivity It not important for your task list and how you getting done It important for the productivity

If you don't have the time, you cannot measure it. Hopefully, I made sense so far

Next, let's go to next. So we got the task. We got the priorities

measure productivity. So as I said in my previous screen to be productive you have to measure it

You cannot say oh I had 10 tasks and I did in my day but what you got to do is you got to write

down the task and their time is spent then you have to evaluate how much time is I spend on these tasks

and now give an example I have say I'm writing an article sometimes this article how many of you

guys really try to write articles or make some slide or something that's not from work that's
23:25
nobody's asking you about it's your job or you start a project like fixing or painting your room
23:32
or fixing your door or cleaning your room or desk whatever and then it takes forever it's going and
23:39
going and going because you have not set a time for that and that's very important for productivity

that each task has to have a time allocated to that. I have to finish by this

And your goal really is try to meet those deadlines. That's important, right

I mean, in work, that's fine. Work, you already get. Somebody's already looking, probably asking you

So that's what it is, right? So it's important. Imagine, you know, how many of you really work at night

How many of you work when watching TV, watching a movie in the background and working and thinking like you're working

and you feel like oh I work five hours I work three hours you have to also see what how much
24:20
work you got done in those three hours right that's important otherwise it's not productive

and goal here is not to get the work done but remember how fast you get it done how less time

you take to get the work done that's the part so if because of tv you're watching tv you're working

at night you're watching movie in the background and you're working if it's taking you a long time

maybe you gotta work in the daytime, you gotta stop watching TV. So that's how you

have to think. So you have to measure productivity that's very important if

you you want to become productive, get more things done in less time. Alright so

now this is another important people don't pay attention to this. This is a

this number three point is you got to allocate time wisely right so and I'll give you an example

you know I wake up first thing you wake up get your coffee tea or whatever you drink and

breakfast whatever you do and you start going through your emails you start getting things

done fast or the simple things like okay let me reply all the emails but key here is that you have

to look at your day you have to look at your time you have to look at your how your body functions

how your brain functions and when are you the most productive when are you the most focused when are

you most productive we are not productive same during the all day okay that maybe in the morning

we are more productive in the evening it gets a little bit sloppy that's how it is our different

we work in different ways some people are more productive and you know when whatever it is you

have to think that and when you think you are best time when you are most productive means when you
26:10
are focused you move fast you think fast you're good that's when you want to do your hardest work

not the hardest task not the you know simplest task for example if you are really again there's

some priorities always depends on what your job is if you are dealing with clients then maybe

replying clients is the most important task and that probably you need to do first thing in the
26:34
morning that's fine but I'm talking about when you have options to pick and choose what task to do

when and say in the morning when you are really focused and you can get more work done that's
26:46
probably you want to hit your hardest task the one that going to require you thinking that's going

to require you focus all that so that's probably you want to start with what I like to do is if I

have a choice what I like to do is in the afternoon when you get slow a little bit especially

you know you're getting older i'm not talking about the young guys when you're older uh what

happens is in the afternoons and later in the evening you get slow you know your processing
27:16
slows down your body slows down so that's when i try to do things like phone calls things like

meetings things like emails because emails i can even reply while even i have to say i'm watching

tv in the evenings i can reply emails that too if i'm not really you know so that's how you have

to think that there may be some tasks where you cannot make a mistake that's what you want to do

when you're really focused not when you're watching tv because a lot of people you know

remember if you're watching tv doing other things movies and working then chances are you may not
27:50
remember everything you're doing and this is what I do sometimes I write articles at night and I'm

watching tv and movie and writing articles and then I leave it and then I forget about the I wrote

article. It happens with me all the time. So I'm just sharing my experience with that

is important. You know we all have phones. You know I have phones sitting here, we have

emails open, we have social media open. Right? If you ask me and these three things are the

most distracted these days, they distract you so much. Your phone, your social media

your emails. That's just they're always there's non-stop. So obviously some of us work in

environment, for example, if there's a client email comes, I have to reply that right away

Faster I reply, faster it is. If client calls, I have to take the phone call. But some of us, we don't have those

those priorities we don't have to worry about getting calls or emails right away

replying right away means so that's how you have to look at that that if you can

turn off notification if you are okay with that for you if it's you know

notifications are not important that even though notifications supposed to be better for you but they can also be very distraction okay so goal really is when

you are working when you're focused less is more okay because again I can go back to how brain

works and our mind is the way brain function is that we are not multi-processer we are a single

processor that's how it is we just design we are all systems let's just say that God is not

designing multi-processors yet I don't know why so less is more so turn on notifications if you a

lot of emails don't reply each email right away unless it's important. Remember I said some people

emails are most important. For some people phone calls are important. If you are in marketing and

social media is your job then social media is most important for you right. If you are in meetings

you have to be meetings are most important for you but if you have a choice if you have a choice

you just group these tasks that every you know a couple of hours I'm going to check emails and

reply then every you know I'm going to schedule my three phone calls between this time to this time

for example in my case I'll give an example afternoons are not productive for me you know

you do lunch and after lunch is not very productive I walk around and maybe that's when I

schedule my three phone calls and that takes me say an hour out of sudden my phone calls are done

I didn't lose any work and I also I use my time when I wasn't really more productive so you have

to think this way. Yeah, so this is a great, so Kaleem has posted a, he said that he used

Clockify. That's great. I mean, there you go. So Clockify is a tool you can use. I have

not used Clockify. It can measure your time. It can prioritize your task and also that's

great. So I'm going to check it out, see how this works. So same thing again, you have to

think about that because once you go to your list and you see, oh, social media, I checked

five times guess what those posts are not going anywhere those notifications are not going anywhere

they're always there so you can always group say you know what every hour every two hour I'm going

to take 10 minutes break and that's when I'll check my social media that's how you have to do it

so everybody's different everything works you know everything is different for everybody so you have

reach a destination is don't stop right. We know that if you want to reach from A to point A to B

How can you do fastest way? Don't stop. Don't take breaks, right? Same thing. If you're sitting

you start something. If you can finish that in one sitting, that's the fastest way. That's the

most productive way. That's when you need less time. So try to break your tasks into the parts

so you can finish that in one sitting. So like if you are sitting two hours and taking 15 minutes
