Art Collection Database Notion Template Video Walkthrough

0:01
Hey, what's going on everyone? It's Mike
0:02
Maloney here from Filter Grade and today
0:04
I'm going to be showing off the art
0:06
collection database template. It's a
0:08
live template on the notion marketplace
0:11
and it's made for art collectors, uh,
0:13
which I happen to be one as well. So, if
0:16
you're someone who needs to keep track
0:17
of your art, especially if you're on the
0:19
go traveling, moving between different
0:22
cities or places, you might not always
0:24
have the ability to sit down and do a
0:26
formal entry. And so I made this
0:28
template for people that might need an
0:30
option to use their phone as well. And
0:32
it's really heavily optimized for
0:33
mobile. Um, right now for the sake of
0:37
this description and demo, I'm just
0:39
using my desktop, but you can easily add
0:41
it on your phone, too. And that's really
0:43
why I made this. But essentially, it's a
0:45
database for all your art entries. This
0:47
is all dummy data that the template will
0:49
come with. But I'm going to show you the
0:51
process of making a new entry and then
0:53
show you some other key features here.
0:55
So, first to start, scroll down and you
0:57
can see the add new artwork. This is
0:59
just a quick description of everything
1:01
you need to add with each art work that
1:03
you add, just so you can keep track of
1:05
your data and really properly understand
1:08
the art in your collection. So, I'm
1:10
going to go ahead and start with just a
1:12
Pablo Picasso entry.
1:15
And then for the artwork name, for the
1:18
sake of this one, I'm just going to put
1:19
the bowl.
1:21
Artwork price was $1 million.
1:26
and the current market value is $1.5
1:29
million.
1:32
This piece was acquired in September 3rd
1:37
of 2004.
1:40
So, our currently our oldest piece in
1:42
the collection.
1:44
And the artwork type is a painting. So,
1:48
that's really simple as you can see. You
1:49
just add that in. Now, for dimensions,
1:51
these are things that you have to have
1:52
provided. I'm just going to put in some
1:54
dummy data here. 48x 36.
2:04
And then next we're going to put the
2:06
creation date. This artwork was made in
2:10
December
2:12
5, 1973.
2:18
And the location this artwork was made
2:20
was in Paris, France.
2:23
Fun fact. This is where you put like a
2:26
fun fact, condition notes, other
2:28
interesting things about the piece. So,
2:31
I'm just going to put acquired through
2:36
a private
2:38
dealer
2:40
undisclosed
2:43
location and
2:46
parties very private. Okay. And then
2:49
finally, the fun part, add media. So
2:51
here you choose a file. I'm just going
2:53
to put a random image from my computer
2:55
real quick.
2:59
And so there you go. Whenever you need
3:01
that, you'll have this. This is just a
3:03
random image for my computer. But
3:04
whenever you need it, you can view the
3:06
artwork right there. For the sake of
3:08
this uh draft, I'm going to do Pablo
3:11
Picasso artwork just because I want to
3:14
show something more fitting for
3:18
this piece. So here we go. the bowl.
3:22
Let's just save the image. Download. I'm
3:25
going to swap that out.
3:29
There we go. Okay. And now that work is
3:33
fully added to our collection and we can
3:35
reference it and see, okay, there's the
3:37
artwork and all the notes. For any
3:40
reason, if you need to add any other
3:41
details, you can always add a new
3:43
property to your database. These are the
3:45
ones we determined would be most
3:46
important. So, as you can see, that's
3:48
here. Now, next, you can view the
3:50
artwork type distribution.
3:53
This is going to show you all the
3:54
different types of artworks in your
3:55
collection along with the ones that you
3:57
might have a lot of or too few of, like
3:59
screen prints. That's something I care
4:01
about a lot, so I need to add that to my
4:03
collection. Whereas, obviously,
4:05
drawings, paintings are already heavily
4:06
represented. Finally, we have the
4:09
artwork gallery. And this is just a
4:11
simple way to get an overview and see a
4:12
name and quickly click through. And then
4:14
you have the full page about this
4:16
artwork and this artist. And so what you
4:18
can do is you can then go ahead and add
4:21
notes, special comments, and other
4:23
things on each page. If you need a
4:25
little more information that's not shown
4:27
in the standard database table.
4:31
And that's about it for the art
4:32
collection database. If you have any
4:33
questions or need help, go ahead and
4:35
check the support tab. We have a couple
4:37
more things here that describe how to
4:39
use it and fix things. And you can also
4:41
message me on X or shoot me an email
4:43
anytime, and I'm happy to help you out.
4:45
Thanks so much to everyone who purchased
4:46
this template. And if you need to still
4:48
buy it, go ahead and head to the link in
4:50
the description and you can grab it
4:51
below.
